C1. Controlling overview

The "Controlling Overview" dashboard provides insights into the control status of expense reports and includes various KPIs and sections to analyze and manage the control process.

This dashboard is based on the control status of expense reports.

The values are either:

  • (N/A): this means the reports that are Posted and are pending submission.

  • Open: this means the reports that are submitted and are pending control. Depending on your setup this can be either Open or Scanned

  • Closed: this means the reports with all of the items are Approved and Controlled.

  • Rejected: this means the reports are rejected by the controller.

  • Settled: this means the reports are marked for settlement.

The date range filter takes into account the submission date of a report.

KPIs:

  • Not submitted spend: Represents the expenses that are posted but not yet submitted.

  • Open spend: Represents the expenses that are pending control (open or scanned).

  • Closed spend: Represents the expenses that have been approved and controlled.

  • Rejected spend: Represents the expenses that have been rejected by the controller.

  • Settled spend: Represents the expenses that have been marked for settlement.

  • Total spend: Represents the total expenses across all control statuses.

Sections:

  • Workflow performance overview: This section provides an overview of the control status of expense reports over different months, helping finance professionals assess the efficiency of the control process and make informed decisions.

  • Accruals overview: This section displays the distribution of not marked for settlement spend based on their control status, allowing for a visual assessment of expense compliance and identification of potential issues or bottlenecks.

  • Report Control Status Detail Overview: This section shows the control status of expense reports submitted by month, providing a quick overview of the submission timeline and allowing for focused follow-up actions.

  • Rejected expense reports detail: This section provides a structured overview of the specific expense reports that have been rejected, enabling a clear understanding of rejection reasons and facilitating resolution and improvement in the control process.

Purpose:

  • This dashboard allows to monitor and analyze the control status of expense reports, identify bottlenecks, manage pending reports, and ensure compliance and timely closure of expenses. It facilitates decision-making, resource allocation, and process improvements in the control and approval workflow.
